Job Description Summary
This position is responsible for managing the Pulmonary Vascular Disease Research Program. The candidate will oversee federally-funded multicenter projects.
The Associate Director will lead all aspects of clinical research as they relate to the Pulmonary Vascular Disease Program's operational and administrative activities, including federal and industry funded projects. Responsibilities include direct management and supervision of center staff including performance evaluation and management; budget preparation, revision, and reconciliation process; recruitment and retention of research-related support; operations; process improvement; and preparation and submission of weekly update reports. They will provide guidance and input on training and compliance needs identified and be responsible for developing and implementing training programs for clinical research assistants, coordinators, investigators and others in the research group.
The director will provide guidance to collaborators both internal and external to the Institution. They will lead the selection of external vendors that will support clinical operations, developing strong relationships and managing all contractual agreements. They will be responsible to see that clinical stage programs achieve program objectives within established timelines, budget, and quality standards. Working with the overall director of the PVD Program, the candidate will ensure that the appropriate company infrastructure and quality systems are in place to support all clinical trials.
The candidate provides advice, counsel and strategic direction to the research community and research partners. They will raise the level of awareness of the strategic and economic importance of clinical research in the PVD Program to internal and external customers. This position will interface with leaders and administrators at multiple sites in the Penn Medicine enterprise to assist with the expansion of the breadth of clinical research in PVD, enhancing the brand of its world-class clinical research program. A hybrid arrangement of remote and in-person work will be available.
- Overall management of studies and projects with the determination of feasibility including communication with Sponsors and affiliates. Responsible for regulatory oversight of multiple projects and must possess full knowledge and understanding of all of the Program's clinical protocols. Protocols may include IND application-supporting trials.
- Provide clinical and administrative support to the Research Program in financial decision-making (internal and external budgets, staff salary support and effort distribution, purchasing)
- Create and modify clinical trial protocols, design MOPs, and databases and assist with start-up of studies within the PVD group.
- Attend, coordinate, and lead study meetings and teleconferences.
- Oversee multiple Field Centers and Cores at other institutions. Perform yearly site visits for QC. Provide oversight to personnel at all participating sites. Work with PIs to perform data cleaning and analysis.
- Work with leadership to identify, justify and utilize resources in an efficient manner; assist with presentations to other Penn officials. Interact with the DOM business office to assist with the oversight of budgeting, billing, and monitoring of financial activity for clinical trials. Provide leadership to coordinate activities between budgeting and contracting, and financial execution ensuring compliance with sponsored and third party insurance billing.
- Anticipate timelines, analyze requirements to accomplish major and minor projects, organize and delegate tasks to faculty and staff, follow through to completion. Direct faculty investigators through the sub-project application process and advise on guidelines, protocols, procedures, forms, formats, budgets, and regulatory requirements.

- Management of PVD staff; Responsible for hiring, orientation, mentoring, training of new and current personnel, ongoing staff education and completing performance evaluations and management, if required, as well as overseeing day to day operations of group
- Supervise and work directly with Project Manager(s) and clinical research coordinators to oversee goals and activities related to clinical research; seek ways to expand capabilities of the program to improve service to faculty investigators and to take fullest advantage of the available resources of Penn.
- Perform additional duties as assigned
- Master's Degree with at least 5-7 years of related experience; or combination of equivalent education and experience in clinical research or research administration in an academic or industry setting required.
- Three (3) years of management or supervisory experience
- Experience in financial management, including budget preparation and management required
- Knowledge of FDA regulations and GCP-ICH guidelines; and comprehensive understanding of clinical trials (Phases I-IV) processes and the conduct of clinical research studies
- Advanced understanding of clinical study processes and key operational interfaces.
- Proven track record in operational delivery of multicenter clinical trials - results oriented.
- Strong scientific/therapeutic expertise in rare diseases preferred.
- Previous experience with grant writing and submissions, budget creation and resource allocation preferred
