The Associate Director of Event Strategy contributes to the planning, execution and successful Implementation of all MBA Admissions' events for MBA applicants, which includes global, regional, on-campus, and virtual events. In collaboration with the External Engagement team, and Admissions Committee.

The Associate Director of Event Strategy contributes to the planning, execution and successful Implementation of all MBA Admissions' events for MBA applicants, which includes global, regional, on-campus, and virtual events. In collaboration with the External Engagement team, and Admissions Committee, the Associate Director is responsible for performing the following tasks:

  • Recruitment strategy and logistical event implementation - partner with Recruitment Strategy team to assess pre and post-event data to understand room for event improvements, customer trends, and requests. Adjust event schedules in accordance with the MBA recruitment cycle. Develop cohesive strategy for all Admissions events - from the prospective applicants phase, through the application cycle, and Admitted Student weekends.

  • Understanding Market trends - research higher education and external marketplace for event trends that can be identified and used for future events within MBA Admissions. Consistently monitor other elite business schools for new event concepts, specifically focusing on virtual events in a post-COVID world.

  • Event Logistics - Responsible for strategy of implementation and logistics for events. Be subject matter expert on how the office executes logistics of events - understand timing of events, best practices, etc. When applicable, work with Wharton and UPenn Departments to book classrooms, venues, and spaces for in-person events. Monitor event registration lists and events email inbox to ensure event attendees are prepared for all events. Responsible for maintaining relationships with vendors that include catering, audio visual, tent and rental supplies, promotional materials.

  • Communications - The Associate Director of Event StrategyA is the owner of the events email inbox, and monitors incoming email consistently throughout the year. Work closely with Associate Director of Marketing and Communications to send all pre- and post-event communications to event registrants and attendees. Communicate with faculty, senior administrators, and other Wharton departments for speaker requests, event timelines and details. Ensure that all branding and communications are in line with marketing and communications standards set by Wharton.

  • Technology and Systems - Partner with the Associate Director of Marketing and Communications, the Associate Director of Marketing Technology, and Wharton's Central Marketing and Communications Team to maintain and learn the ins and outs of event registration tools.

  • Partnership management - Build and maintain strong relationships with internal and external constituent partnerships, including but not limited to The MBA Tour, Forte Foundation, campus facility managers, Wharton research centers, etc.

  • Team Based Discussions - Responsible for planning group interviews for over 2,000 applicants annually. Oversee the setup and maintenance of the group interview registration system, while also managing current student volunteers and room reservations.

    A Bachelor's Degree and 4 to 6 years of experience or equivalent combination of education and experience is required. 4 to 6 years in event management, project management, and/or program development is highly desired, as well as experience in working with alumni, faculty, and communications and/or marketing, Must be detail oriented, pragmatic, and able to handle multiple projects simultaneously. Experience with event registration systems (CVENT), CRM systems (Salesforce), as well as expertise using Excel and/or Google Sheets. The ideal candidate will understand the high expectations of prospective MBA students, will display advanced presentation and communication skills, and have confidence and maturity to work with external vendors, senior business alumni, and faculty. Must work well with others and be willing to pitch in as needed in small office environment and be willing to occasionally work non-traditional hours (evenings and weekends), with periodic travel domestically and internationally.

    Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
