Job Description Summary
Reporting to the Senior Executive Director, the Development Coordinator will provide high-level operational and administrative support to the Major Gifts Program. With close attention to streamlining and documenting efficient and effective policies and procedures, the Development Coordinator will work closely with the Senior Executive Director and Development Associate(s) to support the program by ensuring data integrity, providing accurate lists and reports, conducting basic prospect research and briefing materials, maintaining the prospect management system, and providing support for the day to day operations of the Major Gifts Program.

Job Description
  • Provide high level support to the Senior Executive Director by maintaining prospect pipelines, ensuring data integrity, preparing reports involving data from different sources, and creating and maintaining policy and procedure documentation.
  • Develop and maintain standardized processes for the day to day operations of the campus and satellite offices
  • BENFinancials responsibilities: Make purchases and pay bills for the department.Follow all DAR and University policies related to financial procedures.Run and analyze budget reports for the Executive Director
  • Under the direction of the Executive Director, manage the orientation and training process for new staff members
  • Oversee logistics for all staff monthly and quarterly meetings/retreats.Provide assistance in planning of alumni campus visits.
  • Assist in coordinating the details of major gift events.Event support includes coordinating logistics, compiling and coordinating review of complex mailing and invitation lists, preparing the invitation, taking RSVPs, preparing event materials, and, if needed, staffing the event.
  • Provide ongoing training to major gift officers and support staff in ATLAS and data entry techniques to comply with policy and to ensure consistency and quality.
  • Serve as back-up for all gift processing.
  • Undertake ongoing training and education to maintain necessary skills and up to date knowledge of pertinent policies and procedures.
  • Assume responsibility for special projects and administrative tasks across the office as assigned.

  • High School diploma required and 5-7 years progressively responsible office experience or equivalent combination of education and experience required.
  • Proficiency in all Microsoft applications, including Word, Excel, and Powerpoint, is required.
  • Excellent organizational, interpersonal, communication, and technical skills.
  • Familiarity with office procedures, practices and methods essential.
  • Experience with entry, reporting, and analysis of complex data.
  • Ability to exercise judgment, initiative and analysis in carrying out duties.
  • Highly motivated and strong attention to detail.
  • Creative problem-solver who can excel working on both independent and collaborative projects;
  • Represent our office and the University with a high level of professionalism.
  • Familiarity with University of Pennsylvania and its constituencies helpful.
  • Willing to travel and work occasional evenings and weekends as needed.
