Job Description Summary
The University of Pennsylvania in Philadelphia, PA seeks an Associate Director, Business Operations to prepare, analyze, and report on Space Planning and Operations (SPO) financial position including operating budgets, transfers and expense, and cost recovery by analyzing trends, performing impact analysis, and making recommendations to Department leadership regarding financial operations, including salient reporting. Collect, aggregate, reconcile, and present financial reports, presentations, proactive analysis, budget projections, and ad hoc reporting for presentation to Perelman School of Medicine (PSOM) and SPO Directors and Executives. Oversee and enforce financial standards and SPO practices consistent and compliant with Department, School, University, and Penn Medicine requirements through fact-checking and oversight on Department and Project financial transactions. Ensure standard fiscal procedures among SPO financial staff. Create, revise, and implement changes to financial systems and procedures by analyzing operating practices, recordkeeping systems, forms control, and budgetary and personnel requirements. Direct monthly process for financial reconciliation, projections, financial analysis, and reporting, as well as departmental monthly close activities and annual fiscal close-and-open. Provide detailed financial and data analysis using existing and custom reporting for analyzing cost recovery and expenditures. Draft, prepare for review, and submit budget documents for M&SS Director. Design, code, and program financial reports and formats providing critical financial information not available with standard university reports. Support complex accounting and variance analyses for managerial, executive, and Penn Medicine review to determine allocation of effort for cost/price setting and standardizing and documenting cost allocation models. Query and code in SAP, Oracle, Visual Basic, or SQL data sources. Report and write data for Trustees and Executives, regulatory agencies, directors and budget managers, procedural, summary financial, end-user, technical/application developers, and support staff. Produce financial schedules, quarterly performance slides and graphs, technical specifications for RFPs, project development documents, fiscal close documents (monthly, quarterly, annual, or year to year) and variance analysis. Analyze budgets and actual data in a higher education institution or equivalent organization/industry. Work with databases or projects start-to-end, pre-to-post implementation in all phases including research, design, testing, and implementation. Report cash accounting and reconciling to accrual to record revenues and expenses and monitor business performance. Eligible to work from home office in PA, NJ or Delaware up to 80%. Other WFH arrangements subject to university approval.
