Job Description Summary
The Administrative Director is a full-time, 12-month position reporting to the Faculty Director of the Management and Technology Program (M&T). This position is responsible for all aspects of managing the program's operations and providing key services to M&T students and alumni, including academic advising, internship development, alumni development, and co-curricular programing. The Director also serves as the M&T Business Administrator and as Building Manager to the Robbins House at 3537 Locust Walk. The Director is involved in admissions to the Program, Summer Program for High School students, and Transfer Admissions. They help market the Program and support the recruitment of prospective students, alumni/applicant interviews, and Management and Technology Summer Institute. The Director represents the Program's interests in liaising with both internal and external constituencies.

Job Description

The Administrative Director is responsible for all administrative aspects of M&T within the university (M&T Univ. liaison) as well as outside vendors and assists the Faculty Director in promoting its academic mission.

The Administrative Director serves as the department's Business Administrator and, in collaboration with the Faculty Director, develops and submits the annual budget (using Hyperion.) The Admin Director manages and monitors all Program funds including gift, building, general, and endowed funds; they also oversee all financial transactions and issue student award payments using the Penn Marketplace.

The Administrative Director advises incoming M&T students, especially freshmen, and sophomores, and coordinates the advising received by students from other Penn departments, schools, and centers.

The Administrative Director manages the M&T Intern Fellowships Program available to all M&T students including the application process, disbursement of funds, and data collection for fund stewardship.

The Administrative Director manages and helps run special events for students such as Quaker Day, Orientation, and Commencement, as well as Student Board events. They are instrumental in organizing all the logistics for the Immersive Education Week sophomore trip to San Francisco and will assist in coordinating aspects of the Global Immersion trips in future years.

The Administrative Director oversees the Management and Technology Summer Institute. They manage M&TSI's budget, liaise with 3rd party program providers, hire summer workers, oversee applications and are responsible for TA payments.

The Administrative Director participates in student recruitment. They meet with and answer emails from prospective students, review applications and sit on M&T admissions committee. They meet with transfer students and organize and participate in the M&T Transfer Committee.

Finally, the Administrative Director serves as Building Manager for the Larry Robbins House, the M&T Building.

A Bachelor's Degree, Master's preferred, and 5 years to 7 years of experience in student affairs or related field. Excellent organization, communication, and interpersonal skills are essential. Ability to function with high degree of independence; must work with high level of motivation; demonstrate ability to manage multiple projects simultaneously with limited supervision. Proven ability to work with confidential information. Previous experience managing staff. Experience with the University budget system (Hyperion, Business Objects & Ben Financials) and alumni relations experience is beneficial.
