The temporary Executive Assistant will be responsible for providing administrative support in the Department of Radiation Oncology for the Department Chair with a variety of tasks including: calendar management, planning for domestic and international travel, drafting and sending out email communications on behalf of the Chair, assisting with organizing events, processing Chair's reimbursements, management of incoming calls and emails, and assisting in preparing agendas and presentations. Candidate must be proficient in Office products, and generally technologically savvy. Position is fully onsite (not remote).

Temporary Employee - Non-Exempt

The temporary Executive Assistant will be responsible for providing administrative support in the Department of Radiation Oncology for the Department Chair with a variety of tasks including: calendar management, planning for domestic and international travel, drafting and sending out email communications on behalf of the Chair, assisting with organizing events, processing Chair's reimbursements, management of incoming calls and emails, and assisting in preparing agendas and presentations. The EA will coordinate and transmit information among management team members and within the organization on behalf of the Chair to align current activities with priorities and maximize productivity/efficiency. S/he will serve as liaison of the Chair between department executives, faculty, administrators, and PSOM, UPHS staff and leadership, and leadership and staff of external entities. The successful EA will be professional, exercise sound judgement, and have a general eagerness and willingness to help throughout the department when needed. The individual must maintain a high level of confidentiality, have strong communication skills, with a proficiency and comfort level using MS Office products. Presents a welcoming and professional culture and environment to all staff, stakeholders, and guests. Reports to the Chief of Staff. Please note: Position is fully onsite (not remote).

QUALIFICATIONS:

Bachelor's degree required and 3-5 years of related experience (or equivalent combination of education and experience)

Proficient in using Microsoft Excel, Outlook, Power Point, Teams, OneDrive, Sharepoint and Word

Ability to communicate effectively with all levels of staff

Ability to work in a highly matrixed structure

Ability to work independently

Demonstrated organizational skills

Demonstrated written and verbal communication skills

Attentive to detail

Ability to work in a fast paced environment with changing priorities

Demonstrated time management and priority setting skills

Strong analysis and problem solving skills
