Job Description Summary
THE OPPORTUNITY:

Penn Dental Medicine's (PDM) Division of Community Oral Health is seeking a public health dental hygiene practitioner (PHDPH) to serve as Practice Administrator for four satellite community sites. The Practice Administrator will report directly to the Director of Community Dental Care Centers with a dotted line to the Division Chief of Community Oral Health. This role serves as direct supervisor for staff at PDM's community sites and oversees clinical operations, patient care, and dental student education at PDM's community based clinical centers. In addition to responsibility for the day-to-day administrative operations of the 4 practices, the individual collaborates with leadership in the development and implementation of strategic direction of the practices.

PA licensure as a Dental Hygienist and a Public Health Dental Hygienist is required.

Committed to improving oral health for our patients and our local and global communities, Penn Dental Medicine's Division of Community Oral Health is responsible for the required predoctoral didactic and community based experiential and clinical education in community and public health, health promotion, cultural competency, ethics, behavioral management and practice management. The Division's academically based service-learning program provides the framework for faculty and students to expand community engagement in the Philadelphia region with patients traditionally underserved by dentistry, such as low-income adults and children, including preschool and school age children, elderly, and those patients with medical complex conditions. The Division maintains active engagement with the following community partners: School District of Philadelphia, Sayre Health Center, Mercy LIFE, Philadelphia FIGHT, Homeless Health Initiative, United Community Clinics, Puentes de Salud, and University City Hospitality Coalition.

Job Description

THE ROLE:

From the morning essentials that get our community sites ready to the patients that inspire our superior services, the Practice Administrator leads the way in making it happen. The primary responsibility of PDM's Division of Community Oral Health Practice Administrator is the administrative supervisor of PDM community sites.

This position will have three focal areas: (1) Office Management, (2) Student & Educational Support, and (3) Dental Hygiene.

Office Management
  • Serve as direct supervisor of public health dental hygienists at all community sites. This position ensures that staff provide appropriate and accurate appointment scheduling, billing, fee collection, and patient communication as well as required documentation within the electronic health record.
  • Through the development and analysis of a variety of performance metrics, this position ensures that all administrative functions of the practice are efficient, supportive, and consistent with PDM policies and procedures.
  • This individual is responsible for creating a culture of accountability where each staff member performs at the top of his/her job description in support of the clinical operation.
  • Proactively identifies areas in need of improvement, develops improvement plans, and implements plans.
  • Acts as a change agent as necessary, embodying all PDM cultural beliefs to ensure employee engagement and commitment to company initiatives.
  • Provides regular communications to leadership on clinic practice, projects, initiatives
  • Leads and ensures appropriate onboarding and training is provided to new employees
  • Monitors clinic inventory and office supplies. Proactively anticipates office needs; tracks and orders office products/supplies.
  • Supports with the implementation and enforcement of clinical affairs safety protocols and policies
  • Supports in the budget cycles and reports as necessary and relays progress towards center and organizational goals on a regular basis to leadership as requested. Supports tracking budget discrepancies and explains variances as needed.


Student Education & Finance Support
  • In close collaboration with supervising dentist, support in the management of dental students' performance as related to curriculum and PDM's educational policies and procedures.


Patient Care/Dental Hygiene
  • Develop, implement, and evaluate oral health educational programs at community sites.
  • Perform patient care as a dental hygienist as needed.


Perform other duties as assigned.

RESPONSIBILITIES:
  • Serve as direct supervisor and administrative lead for public health hygienists at community sites. (50%)
  • Ensure staff at community sites provide appropriate and accurate appointment scheduling, billing, fee collection, and patient communication; documentation is submitted within the electronic health record. (10%)
  • Supervise and provide dental hygiene care as a public health dental hygiene practitioner. (10%)
  • Ensure clinical operations activities are consistent with PDM policies and procedures and documented in PDM records. (10%)
  • In close collaboration with supervising dentist, support in the management of dental students' performance as related to curriculum and PDM's educational policies and procedures. (10%)
  • Develop, implement, and evaluate oral health educational programs at community sites. (5%)
  • Other duties as assigned. (5%)


QUALIFICATIONS:
  • A Bachelor's degree in dental hygiene or related fields, and 5 years to 7 years of experience and PA licenses as a dental hygienist and dental hygiene public health practitioner are required.
  • Proficiency in Spanish language preferred
  • Financial/accounting assistant experience a plus
  • Proven ability to maintain confidentiality and integrity in all actions and decisions, as this role will be privy to sensitive and confidential information on a regular basis
  • Computer proficiency including ability to utilize Microsoft Office Suite (i.e. Word, Excel, PowerPoint, Outlook), Bluejeans, Zoom
  • Experience with aXium and Smartsheet preferred
  • A track record of being able to manage multiple priorities when faced with competing demands and shift gears quickly to provide support when needed to executives, teammates, & staff is essential for this role
  • A track record of showing initiative and being a self-starter, always willing to accept responsibility for the tasks given and remain accountable.
