Job Description

The Associate Director of the Penn Alumni Interview Program (PAIP) manages a number of functions that are essential to the program's success, including the oversight of volunteer recruitment, training, retention, and communication. This individual plays a key role in the implementation of the alumni volunteer effort to interview and yield prospective students to Penn's undergraduate schools and programs. Reporting to the Director of the Penn Alumni Interview Program, the Associate Director will assist in managing the university's largest single alumni volunteer effort to promote outreach to prospective Penn students through the alumni network, while providing important applicant information to the Office of Admissions.

The Associate Director will have knowledge and experience in alumni relations, volunteer management, and/or the selective college admissions process, in order to support a coordinated global alumni interviewing process to engage alumni and support Penn's outreach to prospective and current university applicants.

The Associate Director will oversee the strategy, design, and implementation of program communication to engage and train alumni in activities to support Penn Admissions. Beyond the core communication to all Penn alumni interviewers, the Associate Director will develop and manage communication strategies related to committee leadership cultivation and management, affiliation-based programming, and strategic communications with other partners across campus (especially including Admissions, other Alumni Relations/External Affairs offices, and university leadership) to develop engagement opportunities for undergraduate and graduate alumni. They will manage a comprehensive annual communications campaign to support interviewer recruitment/retention efforts, and they will oversee the recruitment of current Penn students to become interviewers before they graduate. In addition, the Associate Director will assist in the development and management of a training curriculum/learning system for all alumni volunteers, in order to position Penn's Alumni Interview Program as a model for such endeavors.

The Associate Director will be a key partner in PAIP efforts to collaborate with Penn Admissions and will oversee all alumni assistance within the broader Admissions effort to yield admitted students each spring.

Qualifications
  • BA/BS degree and one to three (Alumni Officer A job profile) or three to five (Alumni Officer B job profile) years of significant professional and personal development within admissions, counseling, teaching, college/career guidance, alumni relations, public affairs, and/or marketing or an equivalent combination of education and experience required.
  • Knowledge of undergraduate admissions, knowledge of the selective admissions environment, and knowledge of alumni programming are strongly preferred. Familiarity with the University, its facilities, its programs, and its student life also preferred.
  • Willingness to create, innovate, and re-design program training materials for a variety of audiences and purposes.
  • Excellent writing, communication, and interpersonal skills required. Public speaking experience and a background in education/curriculum development strongly preferred.
  • Ability to recruit, train, and motivate student and alumni volunteers, especially those of high visibility and stature, on campus and in local communities. Experience in serving volunteer organizations preferred.
  • Ability to initiate and encourage collaboration among colleagues. Sensitivity, understanding of and genuine interest in working with alumni from diverse backgrounds and experiences. Ability to relate to people of different cultural, ethnic, political, socioeconomic, and geographic backgrounds is necessary.
  • Outstanding administrative and organizational skills, ability to manage multiple projects, set priorities, and meet deadlines.
  • Proven ability to exercise diplomacy, judgment, discretion and grace under pressure. Comfort with ambiguity and working within constraints of scarce resources.
  • Proven ability to learn and adopt new technologies and software platforms.
  • Experience with Slate CRM and/or understanding of database software desirable.
  • Experience running virtual and hybrid events and an understanding of Zoom, BlueJeans, and MS Teams virtual event/meeting platforms a plus.
  • Demonstrated proficiency in Microsoft Office Suite and Windows environment.
  • Experience with web design software, video and sound editing a plus.
  • Some weekend and evening work required.
  • Valid driver's license required. Periodic travel required.
