Job Description Summary
The Program Coordinator will provide administrative support for the La Casa Latina: Center for Hispanic Excellence staff and for the administrative and programmatic functions of the cultural resource center.

Reporting to the Director of La Casa Latina, the Program Coordinator will provide administrative support with scheduling and organizing activities, meeting organization (in-person, videoconferencing, other), organizing and processing reimbursement requests, manage correspondence and documents, drafting letters and other reports, and assist with overall organization preparation.

Job Description

  • Support of all administrative functions including: answering phones, calendar management, scheduling, managing correspondence, processing budget reports and reimbursements, meeting/event planning, creating or modifying business documents, ordering office supplies, acting as a liaison for any facilities/IT issues.
  • Assist with organization and scheduling for outside speakers and visitors.
  • Assist in website and any other digital/media development and maintenance.
  • Coordinate and maintain organized files in compliance with UPenn and government regulations.
  • Assist in office development and alumni relations preparation and development and alumni relations reporting.
  • Serve as staff advisor for La Casa Latina: Center for Hispanic Excellence program series.
  • Supervise and manage student workers.
  • Responsible for compliance with applicable University of Pennsylvania (UPenn) Policies and procedures.
  • Assist with the upkeep and development of center's assessment tools and annual report.
  • Other duties as assigned.

Required Qualifications:

A High School Diploma and 5 years of experience or an equivalent combination of education and experience required. Excellent computer skills, including Word, Excel, PowerPoint; excellent oral & written communication skills; excellent organizational skills; demonstrated ability to handle sensitive, confidential, and difficult situations with tact and diplomacy; excellent customer service skills.

Preferred Qualifications:

Bachelor of Arts plus 2-3 years previous administrative experience. Knowledge of academic environment, particularly University of Pennsylvania, highly preferred. Ability to operate with moderate instruction and supervision. Excellent organizational and problem-solving skills that allow anticipation of requirements and potential problems. Ability to prioritize and task-manage multiple projects simultaneously. Interest in supporting and advising students. Professional presence and enthusiasm with a positive outlook and can-do attitude; Ability to work with individuals at all levels, both internal and external. Willingness to work extended hours/schedules as needed. Knowledge of Latinx communities in the greater Philadelphia area and the ability to communicate in Spanish a plus.
