Job Description Summary
The Protocol Specialist's primary role within the Office of Animal Welfare (OAW) will be to focus on performing and managing IACUC pre-review of protocols and amendments and providing support to researchers working with animals. In conjunction with the other members of the administrative team, the Protocol Specialist will perform protocol and amendment pre-reviews, manage the IACUC review process, and serve as the first line of support for the research community for questions about the online protocol system and protocol reviews. Additional support provided to the research community will include providing training for protocol submissions and participating in the Laboratory Animal Research Coordinator (LARC) training program. The PS will serve as an ad-hoc member of the IACUC Training Subcommittee. Additional duties may include assisting with administrative and technical tasks and IACUC meetings.

Job Description

Principal Position Responsibilities/Duties
  • Conduct pre-reviews of IACUC protocols and amendments and participate in managing the IACUC pre-review process
  • Work collaboratively with animal researchers to modify protocols and serve as a liaison between them and the IACUC during the review process
  • Coordinate and conduct in-person/virtual training sessions covering the online protocol system, protocol submission guidance, and the protocol review process
  • Serve as an ad hoc member of the IACUC Training Subcommittee to review and update animal program trainings and related issues
  • Perform or assist with other duties in a primary or backup role, including protocol-grant congruency checks, technical system operations, subawards/offsite protocol reviews and approvals, IACUC meeting management, IACUC guideline and policy updates, and semiannual report preparation
  • Perform other duties or special projects as required or as assigned by the Assistant Director of IACUC Administration


Position Qualifications
  • Veterinary degree or PhD with two to three years of experience with IACUC-related work and/or basic animal research/laboratory animal medicine required
  • ACLAM board and/or CPIA certification or eligibility preferred
  • Excellent attention to detail with strong written and verbal communication as well as organizational and administrative skills
  • Ability to prioritize workload and multi-task; flexible when working under time-constraints
  • Exceptional interpersonal skills with a customer service attitude; comfortable in interfacing with all levels of the University with a high level of awareness of interdepartmental relationships
  • Professional demeanor and courteous attitude towards colleagues, customers (Principal Investigators, research personnel, IACUC members, other Penn offices), and external agency representatives (USDA, AAALAC, OLAW, etc.)
  • Ability to maintain confidentiality of information and documents utilizing judgment, diplomacy, and discretion
  • Computer/technical proficiency (i.e., good knowledge of MS Office Packages - Excel, Word)
  • Excellent team player with good listening skills and able to complete work tasks unsupervised
  • Familiarity with various animal welfare laws, regulations, and policies
