Job Description Summary
This administrative assistant position serves as the primary point of contact for visitors to the for the Chemistry Department administrative offices. The successful candidate will also perform high-level administrative and clerical duties to support Department of Chemistry faculty, including coordination of faculty travel, reimbursements and coursework support.

Job Description

Penn Chemistry is a department of ideas and scholars, where the community of faculty, post-doctoral fellows, students, and research staff collaborate in exploring new frontiers in the chemical and molecular sciences. Penn Chemistry is a leading center of molecular research. Within the department, the traditional sub-fields of biochemistry, organic, inorganic, and physical chemistry serve as a framework from which collaborative, inter-disciplinary experimental and theoretical research is launched. Penn Chemistry is housed in a complex of buildings providing classrooms, teaching and research laboratories, analytical instrumentation, library services, and support operations. The Chemistry Complex is located within the heart of the Penn campus, and Penn Chemistry is central to many multidisciplinary research efforts on campus, both geographically and scientifically.

This Administrative Assistant position serves as the primary point of contact for visitors to the for the Chemistry Department administrative offices. The successful candidate will perform receptionist duties: greet visitors, and answer and direct phone calls; oversee and support all administrative duties in the office and ensure that office is operating smoothly; receive and sort incoming mail and deliveries, and manage outgoing mail; and manage office supplies inventory and place orders as necessary.

The successful candidate will also perform high-level administrative and clerical duties to support Department of Chemistry faculty, including coordination of faculty travel, reimbursements and coursework support. The candidate will maintain calendar, provide administrative support in preparing of grant proposals, faculty website management, management of electronic records, specifically publications, biographical data, and collaborator and alumni tracking.

Qualifications

A High School Degree and 3-5 years of experience, or equivalent combination of education and experience, is required. Bachelor's degree is strongly preferred. Strong written and verbal communication skills as well as excellent organizational skills are required. The ability to manage multiple tasks and meet demanding deadlines is required. Strong initiative and ability to work independently as well as with a team are essential. Computer proficiency essential including MS Office.

The expected hourly rate for this position is $17.58 to $24.62.
