Departmental Administrative Assistant

As a department administrative assistant for immersive reality (AR/VR) and themed entertainment design (THED), you will support student needs, promptly responding to their questions. You will support departmental leadership and the office of academic services with department and school initiatives and ongoing collaborative projects. You will support classroom, extended learning opportunities (ELOs), and workshop scheduling and assist with building preparation for SCAD Day, acting as the main point of contact for the physical resources department. You will manage correspondences with department leadership - including reading and directing mail, composing communications, and organizing files. You will also maintain department leadership calendars and schedules, gather information to complete paperwork and travel arrangements for all visiting alumni and professional mentors, and greet visitors, directing them as necessary.

In this role, you will manage supply orders and equipment maintenance, collaborate with housekeeping and physical resources to ensure buildings are student ready, and support the continuous display of outstanding student work in department buildings. Likewise, you will coordinate with the communications team to assist with the end-of-quarter photo documentation for outstanding student work. You will oversee meetings, prepare agendas, reserve spaces, and record and transcribe meeting minutes. You will coordinate quarterly report submissions from faculty, create drafts for leadership approval, and remind faculty about end-of-quarter deadlines- including the submission of syllabi, faculty comments, and final grades.

The successful candidate will have immaculate communication, organization, and computer skills. The candidate will be able to simultaneously manage multiple priorities and demonstrate a commitment to professionalism, honesty, and integrity.

Minimum Qualifications:    
  • At least one year of related professional experience
  • Familiarity with Microsoft Office Suite, Banner, or a similar database

Preferred Qualifications:    
  • Bachelor’s degree
  • Work experience in an academic environment

Certificates, licenses, and registrations:
  • Valid driver’s license

Travel Required:
  • Less than 10%

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
