Job Description Summary
The Medical Records Assistant will be responsible for ensuring that the medical record information maintains its quality, accuracy, accessibility, and security in both paper files and electronic systems. The Medical Records Assistant works with the Medical Records Manager to maintain the medical records archival database as well as take on the leadership role with new projects in the Medical Records department. The Medical Records Assistant will use various classification systems to code and categorize patient diagnoses information as well as medical and treatment histories. This information is used for insurance, legal and retrospective studies purposes. This role will take on new continuing education credits by learning more about the Medical Records role concerning SNVDO & SNOMED coding and implementation of an EMR. Additionally, this role will service the internal and external community of PennVet and the University of Pennsylvania.

Job Description

The Medical Records Assistant responsibilities will include:
  • Review patient records for timeliness, completeness, accuracy, and appropriateness of data
  • Use classification software to assign diagnoses and procedure codes
  • Maintain confidentiality of patient records
  • Perform clerical and administrative duties, accurately file and assemble data upon receipt, and file records in designated area according to the numeric filing system
  • Handle all requests for medical records
  • Answer and direct telephone calls appropriately
  • Handle inquiries from clients and clinicians/hospital staff according to established policies and procedures
  • Document all communications in a timely manner
  • Assist with special projects and assisting the Referral Office as needed
  • Perform additional duties as assigned


Qualifications
  • H.S. Diploma or GED required; minimum 2 years of medical records experience required; healthcare setting preferred
  • Knowledge of medical terminology required
  • Strong electronic data entry skills; able to type at least 60 wpm
  • Experience with SNOMED CT preferred
  • Excellent communication and interpersonal skills both written and verbal; ability to interact positively with the public and staff in a professional manner
  • Must be productive, initiative and capable of working independently as well as part of a team
  • Excellent attention to detail and multi-tasking skills
  • Ability to adapt and work well in a fast-paced environment
  • Ability to understand and follow verbal and written instructions
  • Possess good analytical and troubleshooting skills
  • Ability to project excellent customer service in-person and over the phone
  • Excellent time management and organizational skills
  • Ability to strictly adhere to compliance audit policy and maintain medical records confidentiality
  • Knowledge of operating computers and office machinery
  • Must have the ability to adhere to professional standards, hospital policies and procedures
